2,750 guests, 5 chartered planes, 440 bus services, 560 VIP transfers, 8 hotels, and 4 venues

Amway, the biggest company specialized in multi-level marketing to sell health, beauty, and home care products has gathered in Lisbon 2,750 guests coming from the delegations of Russia and Kazakhstan for 5 days to hold their internal convention ‘Leadership Training Seminar 2018’.

beon. Worldwide has been the international agency responsible for the logistic management of the event celebrated on April 12th-16th, in which coordination had a special role: transfers to the venues and hotels were accomplished with the maximum efficiency and professionality.

Guests arrived to the Portugal capital in 5 chartered planes and several regular flights. These planes, with a capacity of 200-600 passengers, landed at the Lisbon airport where beon. personnel organized the welcome to avoid collapses and facilitate the normal airport flow. This was one of the first challenges due to limited space in the area. To the different times of arrivals, our team had to add the check-in hours at the different 8 hotels hired to accommodate Amway guests. Those times varied between 7am and midnight, and all were successfully managed by our teams.

A large number of buses and VIP transfers were hired to cover the routes of venues and hotels. Once more, logistics had a special importance as the second day included a party for all the guests at Convento do beato, located in a residential area in the capital, which had restricted access.

Both in this and other moments during the event, which conveyed specific logistic coordination, the agency worked in collaboration with the metropolitan police, in charge of the traffic management unblocking of spaces in big events.

The overlapping arrivals, check-ins, transfers, and departures implied a large-scale logistic plan. And this was also the case of the day trips organized for the event, both to the city surroundings -Sintra, Estoril, o, Cascais- and the visits to the Lisbon landmarks, which reached groups of 800 guests.

April 14th was a key date, as the 2,750 guests gathered at FIL, Lisbon International Fair, where the internal convention was held. For our teams, this was a question of coordinating thousands of people accessing and leaving the venue at the same time. A carefully detailed planning allowed the full freedom of movement of guests, who arrived on time to all the appointments without with the right traffic flow. Likewise, the gala dinner, celebrated in the same venue during the last convention day, encompassed the organization and coordination of a catering service for the nearly 3,000 attendees, a new challenge which again turned into a total success.

To accomplish this logistic process, beon. Portugal was supported by other offices teams. A total number of 70 professionals designed and executed the whole project for the transfers management, hotels coordination, special transfers, and VIP receptions.
