“Security in events is essential”

Part of the work of the Legal Department covers a crucial aspect in event management: security. Lawyer Reyes Romero, member of this department, shares this and other particulars of her daily work at beon.

Tell us about your usual tasks at the legal department.

We perform much more functions of what people usually think, including writing and reviewing of standard and specific contracts with both clients and suppliers (event contracts, advertising, marketing, stand production, general production, …), artists and shows hiring and management, review of suppliers documentation with the purchasing department, administrative documents requested by both customers and suppliers for their approval, sales and rentals (operations with notaries and commercial registers), leases, application for town licenses for events, fines and resources, insurances (hiring, declaration of claims, policies renewal and monitoring), registration with suppliers, maintenance of the platforms, monitoring and updating of the required documentation, elaboration and compilation of the administrative documentation for contests, subsidies, and tenders (public or private), confidentiality, brand registration, legal proceedings…

What type of operation procedures are usually accomplished by your department?

Problem-solving and resolution of doubts of any nature within the Company sphere. Operation procedures are quite diverse, from a contract with a client or supplier to platform registration or Access, data protection, or image rights.

How have you faced the adaptation to the new European Data Protection Regulation?

The new regulations require an integral adaptation of the holding and our commitment to comply with everything the law requires. The matter has become even more sensitive due to the important sanctioning procedures implied in this new control. AIl our company areas are immersed in data processing, either directly or on behalf of a client, and we are responsible for this treatment. We have carried out a comprehensive examination in every department to analyze the different situations and thus apply the necessary data processing.

When it comes to international events, what basic procedures need to be taken into account?

It is crucial to properly bond the commitment of both parts, what must be done in case of an eventuality or force majeure, how is the tax regime of the destination, and enforce our personnel to comply with the administrative and work legislation.

How will you assess the value of security for any event?

For us, security is the main reason for contracts to exist. Security and safety always come first, and with this we refer to physical, material, and economic damage. Personal security is a very serious question for us, and it should always be protected. This is why we always ensure that any contract includes the right, specific civil liability insurance.
